We are looking for a colleague to be the first point of contact of our AICS South East campus welcome desk. The welcome desk supports students, staff and visitors to find their way within the community. The AICS community feeling starts with you.

Who are you?

You need to be a strong minded, energetic, hard-working, and caring professional to run the welcome desk and care for the staff and students of our dynamic and growing South East location. You enjoy being part of a support team that is the backbone of our school. You are flexible and open to work at and collaborate with the other AICS campuses (South and Satellite) when needed.

Pay scale 4 (min €1942,- max €2692,- based on full-time per month, before tax).

About the AICS

The AICS is a Dutch International Primary and Secondary School in the Netherlands. We are an IB school that offers PYP, MYP, DP and CP. Together with a number of other national Dutch schools we form the ‘Esprit Scholen’.

The AICS is a partly-state-funded community school, which enables us to deliver high-quality education at competitive fees. The AICS is a fully accredited member of the Council of International Schools (CIS) and offers international education to internationally mobile students from over 50 different nationalities.

The AICS currently offers primary education to students aged 4-11 and secondary education to students aged 11-18. The main language of instruction for classes is English. Since the start of the school in 2003, the AICS has now grown to a total of over 1900 students divided over three campus locations ( AICS South, AICS Satellite and AICS South East) and will continue to grow over the next few years while merging the Satelite and South East Campus into one Campus in 2023.

Your work will consist of:

  • Acting as a first point of contact. Supervising the front door and receiving people at the welcome desk;
  • Picking up, answering and, if requested, putting through callers on the telephone in line with arrangements made previously, including taking notes;
  • Intervening in conflict situations between students in line with arrangements agreed in advance;
  • Providing help in emergencies (first aid, acting as the school’s first response person) and contact parents when necessary;
  • Ensures that safety measures are followed at all times. Vigilance with all people moving in and out of the school building;
  • Track late arrivals, early leavers and late pick-ups and communicate information with the absence administrator;
  • End your work day by preparing for the next morning;
  • Keep a clear overview of expected visitors and guide them to the correct locations;
  • Accept and distribute all deliveries including mail, ensures that mail is posted everyday;
  • Assisting with day and evening school events;
  • Occasionally supporting with caretaking duties;
  • Providing various types of administrative support when required.

You need to have:

  • Professional appearance as the first ‘face’ of the school for parents and visitors.
  • Preferably have experience working with children in a school setting
  • An understanding and knowledge of:
  • reception/welcome desk operations;
  • dealing with students and responding to disturbances; 
  • The ability to multitask, to be flexible, prioritise & stay calm under pressure;
  • Excellent computer & organisational skills;
  • The willingness to learn about the use of different systems (f.e. iSAMS);
  • Confidence, patience and kindess;
  • Skills in communicating with third parties in regard to making and keeping appointments;
  • Interest in working in a fast paced, demanding, school environment;
  • The ability to maintain confidentiality & handle sensitive information appropriately;
  • An understanding and knowledge of different cultural backgrounds;
  • A commitment to the school’s mission to provide community-based international learning;
  • A sufficient command of spoken and written English and Dutch, allowing you to communicate properly and to answer the phone.

Our Administration team

You will be a part of the Administration team together with the other AICS welcome desk team members and work closely with the caretakers. The team is international and consists of members with diverse life and work experiences.
